# Delete versus deactivate bookable resources

Deactivating a resource allows you to remove them from active use across Altus **without deleting their record**. This is the recommended approach for offboarded resources, as it preserves historical data such as allocations, timesheets, and reporting.

**When to Deactivate a Resource**

- Deactivate a resource when they:
- Leave the organisation
- Are no longer available for work
- Should not appear in resource selection lists

**Best practice:** Deactivate resources instead of deleting them.

To deactivate bookable resources:

1. Navigate to **Resources** from the left‑hand menu.

2. Select the resource you want to deactivate to open their record.

3. In the top command bar, select **Deactivate**.

4. Confirm the action when prompted.

The resource status is updated to **Inactive.**

> What Happens When a Resource Is Deactivated
>
> - The resource is **hidden from active lists** where resources are normally selected
> - They can no longer be assigned to new work
> - Existing historical data (allocations, timesheets, reporting) is **retained**
> - The resource record is **not deleted**

> Why Deactivate Instead of Delete: Deleting a resource can:
>
> - Remove historical data
> - Affect reporting and financial records
> - Break links to past projects or timesheets
> - Deactivation preserves data integrity while keeping the system clean and up to date.

**Result:** Offboarded resources are removed from day‑to‑day use while historical information remains intact.

> **Note:** Only users with **administrator rights** can delete resources. It is recommended to **deactivate** resources instead of deleting them to retain historical data and reporting accuracy.
