# Generate and share the project status report

The **Project Status Report** provides a real-time view of project performance, including progress, key metrics, and overall health. This report can be generated directly from the project and shared with stakeholders to support regular reporting and governance.

## Generating the Report

The report automatically reflects the current state of the project, including:

- Current stage and progress
- Key performance indicators (KPIs)
- Deliverables, issues, risks, and other tracking data

No manual refresh is required—changes in the project are reflected directly in the report.

## Important: Real-Time Report Behaviour

The Project Status Report always reflects the **current state of the project**.

- There is **no built-in historical snapshotting** of reports by default
- The report will **not retain past versions** automatically

This means:

- Each time the report is generated, it reflects **latest available data only**
- Previous versions of the report are **not stored in the system**

To maintain a history of reports:

- Export and save the report at each reporting period
- Apply a **clear naming convention** (e.g. project name + date or reporting period)
- Store exported reports in a central location to build a **historical reporting library**

## Exporting the Report

To share the report externally:

1. From the **Status Report** view, select **Export**
2. Choose the required format

**Recommended format:**

- **PDF (.pdf)** – Ideal for sharing with stakeholders and maintaining a consistent layout

Other formats may be available (e.g. Excel, Word), depending on reporting needs.

## How to Use This Feature

Use the Project Status Report to:

- Provide **regular project updates** to stakeholders
- Share a consistent view of **project health and progress**
- Support governance, steering committee, and executive reporting
- Ensure alignment across teams using a single source of truth

## Tips

- Export and save reports regularly to build a **historical record**
- Use PDF format for formal reporting and presentations
- Apply consistent file naming (e.g. *ProjectName\_StatusReport\_YYYY-MM-DD*)
- Review the report before exporting to ensure completeness
