Set project KPIs and compose status narratives

The Status Update feature allows project managers to define key performance indicators (KPIs) and provide supporting narratives to communicate project status clearly to stakeholders.

KPIs and narratives should reflect an accurate view of project performance and highlight any areas requiring attention or support.


Creating a Status Update

To create a project status update:

  1. Open the required Project
  2. Navigate to the Tracking section
  3. Select the Status Updates tab
  4. Click + New Status Update

Defining the Status Update

When creating a status update:

Set the Status Date

  • This should reflect the status period end date

Define the General KPI

  • Select the overall project status (e.g. On Track, On Watch, Troubled)

Provide a General Status narrative

  • Summarise overall project performance

Review the auto-calculated KPI breakdown

  • KPIs may be pre-populated based on project data

Override KPIs where required

  • You can manually adjust KPI selections to align with your organisation’s governance process
  • This ensures the reported status reflects context, judgement, and stakeholder expectations (not just system-calculated indicators)

Provide a status narrative for each area

  • Deliverables
  • Schedule
  • Work
  • Financials
  • Issues
  • Risks
  • Change Requests
  • Focus on key updates, risks, and required actions

Important: Status Update Snapshot Behaviour

When you select Save or Save & Close:

  • The status update captures a snapshot of project data at that point in time
  • Subsequent updates to project data will not retrospectively update the saved status update

This means:

  • KPIs, metrics, and counts reflect the project as it was at the time of saving
  • You can still update KPI selections and narrative comments, but the underlying data snapshot remains unchanged

This ensures consistency and a reliable historical record of project reporting

Note:
Some organisations may configure settings to override this default behaviour.


If you need to provide an updated status:

  1. Create a new status update for the next reporting period
  2. Select Duplicate Status Update

This will:

  • Copy the previous narratives and comments into the new update
  • Allow you to refine and update content efficiently

How to Use This Feature

Use Status Updates to:

  • Communicate project health and progress
  • Highlight risks, issues, and required decisions
  • Align reporting with governance expectations
  • Maintain a historical record of project performance

  • Treat each update as a point-in-time report
  • Align narratives with KPI selections for consistency
  • Apply professional judgement when overriding KPIs
  • Use Duplicate Status Update to maintain continuity across reporting periods
