Manage portfolio and program risks

While your organisation likely has a more specific definition of risks (and issues), a risk is generally defined as a future challenge, or opportunity, that could impact the portfolio’s or the program’s successful conclusion. The key to ensuring that a risk is managed, is assigning it to a responsible individual.
 

To manage program or portfolio risks:

Create new risk

  1. Ensure you have the appropriate portfolio or program open in Portfolios.
     
  2. Click the Risks tab.
     
  3. Click +New Risk.
     
  4. Fill in the Name field.

    Important: It is mandatory and it should be clear and concise to help users identify the risk in screens, reports, and dashboards. Ensure that the Assigned To and Due Date fields are never blank for efficient tracking and reporting. 
     
  5. Provide additional details in the remaining fields.
     
  6. Click Save and Close.
     

Update risks

  1. Ensure you have the appropriate portfolio or program open in Portfolios.
     
  2. Click the Risks tab.
     
  3. Click on the Risk to be updated from the list.
     
  4. Update any field, as required.
     
  5. Click Save & Close
     

Converting a risk item to an issue item

  1. If the risk has eventuated, open the existing risk item from the Risks tab.
     
  2. Click Convert to Issue from the command bar across the top of the form. 
     
  3. Complete the Quick Create: New Issue form on the right-hand side with the partially pre-populated information from the original risk. 
     
  4. Click Save & Close.
     
  5. Back in the open risk item for editing, reset the Status to Active from Converted to Issue if you are anticipating other issues that may arise from the same risk item. 
     
  6. Open the newly created issue item from the Linked Issues list at the bottom of the open risk item to provide additional information. 
     
  7. Click Save & Close to apply the changes. 

    Tip: You can navigate back to the originating risk of an issue item by clicking the Linked Risk item from the open Issue item.
