Align project resource requests to the project schedule

If there is a significant variance in the resource allocation between the resource plan (committed work) and the project plan (work assignments), you will have to work to optimise the schedule, cut scope, or negotiate for additional resources or changed dates to remain aligned to the committed work approved by the respective line managers.
 

To align project requests to the project schedule:

  1. From the Resources Grouping tab, open the Resource Plan tab.
     
  2. Align the resource request to the project schedule by adjusting the requested hours in the P for Proposed column based on the read-only hours synchronising from the Tasks tab in the S for Scheduled column for each time period and extend the duration of the requests as needed to align to the project schedule.
     
  3. If necessary, replace an existing resource by clicking the ellipsis (…) to the left of the resource to be replaced and select Change Resource and search for and select the replacement resource. 
     
  4. Adjust the hours required for the replacement resource per time period in the P for Proposed column.
     
  5. Add new resources as needed by searching for and selecting them using the second search box. 
     
  6. Define the hours requested for the new resource per time period in the P for Proposed column.
     
  7. Once you have completed all resource request updates, click Submit and Save from the bottom right-hand corner of the form.
     
  8. Once the resource managers review and update the resource requests, you should then review and validate that all requests have been approved in the C for Committed column via the green shading or rejected/changed via the red shading

    Tip: Alternatively, navigate to the Data menu options of the Resource Plan grid and use the Shift Resource Request feature to move all resource draft proposed hours by the number of days between the selected From and To dates. The revised proposed hours will need to be submitted again for fulfilment. 

    Important: You should validate that you can be successful delivering the project based on the approved requests or work with your stakeholders and the resource managers to replan the project to satisfy both the project’s requirements and the availability of resources to complete the project work.
