Delete versus deactivate bookable resources


Deactivating a resource allows you to remove them from active use across Altus without deleting their record. This is the recommended approach for offboarded resources, as it preserves historical data such as allocations, timesheets, and reporting.
 

When to Deactivate a Resource

  • Deactivate a resource when they:
  • Leave the organisation
  • Are no longer available for work
  • Should not appear in resource selection lists

Best practice: Deactivate resources instead of deleting them.
 

To deactivate bookable resources:

  1. Navigate to Resources from the left‑hand menu.
     
  2. Select the resource you want to deactivate to open their record.
     
  3. In the top command bar, select Deactivate.
     
  4. Confirm the action when prompted.
     

The resource status is updated to Inactive.

What Happens When a Resource Is Deactivated

  • The resource is hidden from active lists where resources are normally selected
  • They can no longer be assigned to new work
  • Existing historical data (allocations, timesheets, reporting) is retained
  • The resource record is not deleted

Why Deactivate Instead of Delete: Deleting a resource can:

  • Remove historical data
  • Affect reporting and financial records
  • Break links to past projects or timesheets
  • Deactivation preserves data integrity while keeping the system clean and up to date.

Result: Offboarded resources are removed from day‑to‑day use while historical information remains intact.

Note: Only users with administrator rights can delete resources. It is recommended to deactivate resources instead of deleting them to retain historical data and reporting accuracy.
