Grant ‘Member’ access to Power BI Workspace for Insights
Altus Insights dashboards are powered by Power BI reports embedded within Altus.
Access to these reports is not automatically granted when a user is onboarded to Altus.
Users must also be explicitly granted access to the Power BI workspace where the Insights reports are hosted.
Without this access, users may experience:
- “Request access” prompts
- No data or blank reports
- Licensing or permission errors

Important: Platform & Permissions
This configuration is not managed within Altus.
It must be completed in:
- Power BI Service (workspaces)
Requires:
- Workspace Admin or Member access in Power BI
Why This Step Is Required
Altus Insights reports are:
- Hosted in a Power BI workspace
- Embedded into Altus for user access
However:
- Power BI enforces its own access and licensing model
- Users must have:
- Access to the workspace
- Appropriate Power BI license (e.g. Pro or Premium capacity)
👉 This means onboarding a user to Altus does not automatically grant access to Insights
Recommended Approach
Use Microsoft Entra ID (M365) groups to manage access.
This allows you to:
- Add users once (via group membership)
- Automatically grant both:
- Altus access
- Power BI workspace access
✅ This is a “set and forget” model aligned with enterprise governance
High-Level Steps
Navigate to Power BI Service
Open the relevant Insights Workspace
Select Manage Access (top right)
Select + Add people or groups
Add:
- Individual users or
- Microsoft 365 / Entra ID group
Assign role:
- Member (recommended for active users)
Save changes

Understanding Workspace Roles
Power BI uses role-based access to control permissions.
Key roles include:
- Admin
- Member
- Contributor
- Viewer
The Member role:
- Allows users to access and interact with reports
- Supports updating and collaborating on content (if required)
Workspace roles control what users can do within the workspace.
How This Impacts Altus
Granting workspace access enables users to:
- View Insights dashboards within Altus
- Interact with:
- Portfolio Insights
- Project Insights
- Resource and Strategy reports
Without this:
- Embedded reports will not load
- Users will see permission or license errors
Best Practice: Group-Based Access
To simplify onboarding:
- Use the same Entra ID / M365 groups for:
- Altus security (Dataverse Teams)
- Power BI workspace access
Benefits:
- Centralised access management
- Consistent permissions across platforms
- Easier onboarding/offboarding
