Create and share project views

Altus allows you to create and customise list views to help you focus on the data that matters most.

You can:

  • Filter records
  • Select which columns to display
  • Save personalised views
  • Share views with others

Important:
This functionality is available across all list views in Altus, not just Projects (e.g. Risks, Issues, Timesheets, Benefits, etc.).

Users can only create personal views based on existing system views.

  • You cannot create or modify system views (e.g. All Active Projects) for all users
  • System views are centrally managed in Power Apps (make.powerapps.com) by an administrator
  • Any customisations you make (filters, columns, layouts) must be saved as a personal view

Shared views extend your personal view to others, but do not change the underlying system view for everyone.


Where This Is Performed

  • Any list view in Altus (e.g. Projects → All Active Projects)


Understanding Views

  • System Views
    • Predefined views (e.g. All Active Projects, My Active Projects)
    • Managed centrally by administrators
  • Personal Views
    • Created by users
    • Can be customised, saved, and shared


Creating and Customising a View

  1. Navigate to a list (e.g. Projects)
  2. Select an existing view (e.g. All Active Projects)


Edit Filters

  1. Select Edit Filters
  2. Apply conditions such as:
    • Project Type
    • Status
    • Owner
    • Date ranges


Edit Columns

  1. Select Edit Columns
  2. Add, remove, or reorder columns
  3. Configure how data is displayed


Temporary Changes to Views

Important:
If you make changes (filters or columns) directly to a system view, an asterisk (*) will appear next to the view name (e.g. All Active Projects).

This indicates that:

  • The changes are temporary only
  • The view has not been saved

👉 If you navigate away or refresh, these changes will be lost.


Save the View

  1. Select Save As
  2. Enter a name for the view
  3. Save it as a Personal View

Tip:
Use clear naming (e.g. Active Major Projects – Finance) to make views easy to find and reuse.


Setting a Default View

  1. Open the view selector
  2. Select Set as default view

👉 This ensures the selected view opens automatically when you return to that list.


Managing and Sharing Views

  1. Open the view dropdown
  2. Select Manage and share views
  3. Locate your view
  4. Select the ellipsis (… )

Available options include:

  • Share
  • Set as default
  • Edit info (rename)
  • Assign permissions
  • Delete or deactivate


Sharing a View

  1. Select Share from the view options
  2. Add:
    • Users or Teams
  3. Assign permissions:
    • Read
    • Write
    • Share (if required)
  4. Select Share

Important:
Sharing a view gives others access to the same filtered and structured dataset, supporting consistent reporting across teams.

  • Edit filters

Key Considerations

  • System views are centrally managed and cannot be edited permanently
  • Personal views must be saved to retain changes
  • Temporary changes (with *) are not persisted
  • Shared views support consistent reporting
  • Permissions control who can access shared views


Tips

  • Create views aligned to your role (e.g. PM, Finance, Executive)
  • Save frequently used filtered views
  • Share views for standard reporting
  • Always save changes to avoid losing work
  • Use filters and columns together for the best results
